Nowadays, companies generate piles of documentation of any type: contracts, invoices, orders, receipts, catalogues, brochures, designs, images, pictures, reports, etc. Having all this documentation properly organized is not always easy, but it can help in increasing internal efficiency and in delivering better customer service. Usually, these documents are stored in employees’ computers or in the best scenarios are stored in physical files, which makes access more difficult. Making way for easy access to this documentation for employees is key to improving performance of internal business processes.

In Openbravo 3, it is possible to attach files to any document or record in the system. This is extremely useful as it allows you, for example, to keep a scanned copy of original documentation such as purchase invoices or contracts together with the electronic version of the equivalent document in the ERP. The system makes it possible to attach as many files as needed to any single record with no limitation. For companies having different sites or having employees accessing the ERP from remote locations, Openbravo 3 allows immediate access to all attachments with a simple Internet browser, without having to access a physical file. Openbravo 3 also manages access permissions for each user.

In addition, Openbravo 3 also allows the registration of notes to any kind of document or record. Notes can be very useful as they provide additional insight to users and can help in avoiding misunderstandings among employees, for example whenever certain exceptions are applied when authorizing a special discount to a specific customer. Multiple notes can be registered to a single record and the system automatically keeps track of the authoring and date of creation.
